Checklist

The Checklist module is used to display an interactive checklist that hierarchically organizes and aggregates item status in a comprehensive and information summary.

This module functions outside the realm of the normal permissions hierarchy.  Permissions are managed by administrative users with the Checklist Manager module.

NOTE: This module has special configuration options.  See the Checklist Manager module topic for more details.

Task Terminology Overview

These checklists are used to assist end users with keep track of the status of defined Tasks in a centralized location.  Tasks are three-state items that can stack statuses of complete, failed, or incomplete.  Task status changes can be made manually, automatically via web services from external applications, or both.

For display purposes Tasks are contained inside of Views which are convenient means of organizing related tasks in such a way that they can be used to simply display and even have the status of child Task items roll up to the View level.  This allows for workers to focus on the details in tasks and allows for executive to review summary in views.  A single Task can actually be made to appear in multiple Views which is handy when there is overlap but a desire not to define and track the same task multiple times.  If all Tasks in a View are complete the View will display a roll up value of Complete to the end user.  If any Task in a View has failed, the View will display a roll up value of Failed to the end user.  If any Task in a View is incomplete and no tasks have a failed status the View will display a roll up value of Incomplete.

For organizational purposes Tasks are defined and contained inside of Folders which are hierarchical organizational units used to assign role based permissions.  Folders and their permissions are managed with the Checklist Manager.

Viewing and Managing Tasks in the Checklist Module

The status of individual Tasks can be viewed by expanding the View either by clicking on the name of the View or clicking on the + button.  The View may be retracted again by clicking on the name of the expanded View or by clicking on the - button.  Once expanded a user with appropriate permissions may toggle the status of Tasks that allow manual status changes by clicking on the check box.  Tasks are displayed in a context of a calendar date.  The defined calendar date applies to all views on the module.  Clicking on the Date will invoke a Calendar pop-up that will allow you to navigate and view Task status for different days.
